1. Manage page - overview
 

The Manage page is the access to the entire back-end of the system. Depending on your user permissions, you will be able to perform various tasks. Should you require additional permission please request them via info@softserv.co.za

You can access the Manage Page via either button on the green bar (top) or black menu bar (Manage / Settings). This will direct you to a default view showing you all the users in that specific location. The main working area of the Manage Page (here on known as MP) is split up into 3 sections:

1) Center - Users / Athlets / Learners
2) Upper Right - List called (this is called via the below panel)
3) Lower Right - List of Classes / Skill-sets

Anything to do with users / assessing / monitoring / classes or skill-sets will take place in the MP.

 

 

2. Manage page - Searching / Creating a user

 

To search for a user, utilize the search box located in the middle of the page just below the black bar. Simply type the name of the user and the search bar will populate options (users) as you type (predictive search). To view the user, click on the predictive name that has been shown. The users profile account will then show in the main viewing area. Should the user not be found, please first ensure that the spelling of the name is correct.

If a user needs to be created, type in the name of the user as mentioned above (to ensure that they have not already been created. If they are not located, you will be notified that "There is no such user located" and you will be asked "Would you like to create this user?"

A popup box will appear where you will enter the users actual email address and allocate them a password. Click "save user" and continue through the following prompts (parent / guardian details, weight and height, grade, etc) although it is not vital to complete these to create a user as the additional information can be created at a later stage.

Please note that the email address MUST BE valid and used by either the user or the users parent/guardian as all communication and access will take place via this email address. Once a user has been added, they will receive an automated email notification welcoming them to the software platform and show them their username and password along with the link in order to access their account.

 

 

3. Manage page - Allocating users to a class / skill-set

 

To allocate a user to a class or skill-set, simply click on the desired class in the lower-right panel. The class list will the load in the upper-right panel. You can add user by the use of two methods: Drag and drop -or- Click to add.

Drag and drop:
Click and hold on the profile image of the user (profile box), drag and drop them onto the upper-right panel. You will see that they are populated in that class.

Click to add:
Once you click on the desired class in the lower-right panel, you will see in the upper-right panel the class name and "[add]". To add mass users to this class simply click on the "add" button. A new main view will appear with all the users available. You can then select the users that you requrie in that class by clicking on them. You will see that the selected profile's will turn green and they will also show up in the class list in the upper-right panel.

PLEASE NOTE: As a user is added to that class, so to will that class / skill-set be added to their profile page (the user can see what classes he is in)

 

 

4. Manage page - Searching / Creating a class or skill-set

 

Classes or skill-sets are the "classes" (school terminology) that learners or athletes are allocated to.

For example: A learner would have "English First Language" allocated to his profile as he attends that class. The teacher would then be able to view the class list of all the users and assess each time there is a test, assignment or exam.

Here are some examples of school classes: English, Afrikaans, Business Economics, LO, Mathematics, etc
Here are some examples of sport skill-sets: Passing (soccer / rugby), Pushups, Situps, Sprints (athletics), tackling (rugby / soccer), etc

To search for a skill-set or class that has been created simply scroll down the page viewing the lower-right panel (Class-list). Click on the desired class list / skill-set and view the user-list that will be populated in the upper-right panel. Should the class or skill-set not yet be created or should an additional class or skill-set be required view the top of the lower-right panel:

Creating a class or skill-set:

There are two types of classes/skill-sets: Percentage bassed (mark out of 100) and Quantity based (amount). Percentage based classes are used when you wish to monitor users via test scores and an overall percentage is required (tests, exams, etc), whereas Quantity based classes are used when recording repititions, times or quantities that exceed 100 and therefore cannot be a percentage.
Please note that Quantity based classes will not be added into the overall Percentage of the user when viewing their profile.

To create a class / skill-set, type in the desired name (Eg: Fitness - Pushups) and then click on the Quantity/Percentage drop-down, chosing the desired format (In this case, working with pushups, select quantity based)

PLEASE NOTE: Once created the class / skill-set, REFRESH the MP as the database will need to reload the page in order to view the new class created.

 

5. Manage page - Assessing a user

 

There are various methods to assess a user, as follows:

1) Assessing a user from his/her Profile page
2) Assessing a user from the Manage page
3) Assessing a class from the Manage page

1) Assessing a user from his/her Profile page:
In the main view locate the desired user and click the "view" button on the users menu > This will open the users profile page in a new-window. Scroll down to the desired assessment class or skill-sets. To assess, click on the name (Eg: Fitness - Pushups) which will prompt you to enter the Description (day / time / location / any reference) and Assessment (percentage or quantity). Then click "save". The assessment will then be immediately uploaded and the marks will refresh to show the new mark.
PLEASE NOTE: Uploading of additional scores in percentages will calculate the new percentage however uploading of additional quantities will show the latest quantity added, not the combined total of all assessments done.

2) Assessing a user from the Manage page:
When a user is in a class, listed in the upper-right panel, hover over the users name and you will see buttons appear. Click on the "S" (S = Assessment) which will then pull up all the classes for that user in the main-view. You can then assess the user by completing the boxes according to each class / skill-set.

3) Assessing a class from the Manage page:
In the Manage Page scroll down and locate the desired class / skill-set you wish to assess. Hover over the class and click on the "S". The class list will then appear in the main-view. Enter a "title" (Eg: English test / 100m Sprints) and then enter each users assessment in the boxes. Click "save" and "done" to finish the process.
